Derigo’s Pro3 system supporting Pemamek’s growth and common ways of working

Pemamek Oy is the world’s leading provider of welding and production automation, with offices in Finland, Germany, the United States, Brazil, Poland, Spain, and Italy. The company employs approximately 350 people and had a turnover of 64.7 million euros in 2022.

A significant factory expansion was completed at Pemamek’s headquarters in Loimaa in 2022.

The Pro3 system has been in use at Pemamek Oy since November 2019. Project Manager Samuli Alppiranta and Project Director Jani Hollo have been deeply involved in the system’s implementation and daily use.

Jani Hollo has been with Pemamek since 2006, working in project management from the start, first as a project manager and later as a project director. Hollo is considered a “heavy user” of the Pro3 system, leveraging it extensively in his daily tasks and acting as the system project owner.

Samuli Alppiranta serves as Pemamek’s project manager and Pro3 key user.

Project Manager Samuli Alppiranta has been at Pemamek for five years. His role covers overseeing projects from planning to customer handover. As the Pro3 system’s key user, Alppiranta is responsible for the system’s daily operations, content and functionality customization, and supporting other users within the company.

Common operating models to support growth

As Pemamek’s operations expanded and employee numbers grew, the company sought to standardize its operating models. A system was needed to guide employees to follow the company’s defined processes and instructions. According to Hollo, the company also wanted a system that could easily demonstrate consistent operations and their continuous improvement during external quality audits.

After evaluating various options, Pemamek selected the Pro3 system, which best met their functional criteria.

During the selection process, other alternatives included complex, large-scale systems that were considered difficult to implement, especially regarding customer-specific configuration of content and functions. Additionally, Pemamek wanted a system agile and adaptable enough to support their rapidly growing operations.

“We identified the most critical aspects for us and found a system that met those needs. We also wanted to ensure that the new system would guide us to comply with our certified quality management system as we execute projects,” Hollo summarizes.

Implementing Pro3

The co-operation between Derigo and Pemamek began in November 2019. Pemamek already had a vision of what they wanted from the system and its potential content, providing a solid starting point. By February 2020, the company had a test version of the system in place, and its implementation began within project departments, one project at a time. The entire implementation process took about four months. Throughout the process, a joint project team from Pemamek and Derigo worked closely to ensure a high-quality outcome.

The rollout began with the project management module, followed by various Pro3 extensions such as risk management, electronic forms, and portfolio reporting. According to Hollo, Pemamek intends to continue expanding the system step by step, incorporating new Pro3 extensions and integrations as their operations grow.

Pro3 in practice

Pro3 serves as the primary system for Pemamek’s project department, while the design and operational teams also utilize it. Additionally, all quality and development-related information, as well as files for internal projects, are stored in the system.

Alppiranta notes that the project workspace allows him to easily find project-related files and information while understanding what needs to be done at each stage. He also gains a clear overall view of the company’s projects through the portfolio report, including timelines and workloads.

Pro3 is used daily at Pemamek for reading documents, storing important emails, managing tasks, and tracking key project milestones.

Additionally, Hollo highlights that reporting views defined for management provide convenient real-time updates on the different phases of projects.

“Projects can last several years, so when we need to revisit previously produced critical information, we can easily retrieve it from Pro3,” Hollo explains.

Alppiranta adds that the system reminds him of tasks that need to be completed and their deadlines, as well as upcoming project events. “Tasks get done on time, and the system guides the user according to the project’s progress. Moreover, the advanced search functions make document retrieval incredibly efficient,” Alppiranta states.

According to Alppiranta, Pro3 users have been satisfied with the system, and negative feedback has been minimal. As the key user, he has received suggestions for improvements, such as adjustments to specific forms, which he can create and modify as needed.

Pro3 key users have dedicated service contacts at Derigo, who provide support for system use and development. “We receive excellent support and communication has been seamless. We always get quick answers to any questions,” Alppiranta comments.

The benefits of common operating model

Pemamek values ensuring consistent project execution and securely storing critical project documentation in an pre-defined and organized manner, rather than on personal computers or scattered across network drives. “Daily project work becomes easier with Pro3 because, for example, memos, important emails, critical documents, and project reports are all easy to find, up-to-date, and stored in agreeed locations,” Alppiranta explains.

Hollo adds that the system also enables Pemamek to present a high-quality image to customers by demonstrating their standardized processes and quickly providing the necessary documentation. For instance, risks reported through the risk management tool are easy to present using Pro3.

“Pro3 saves time because document templates and operating models based on our management system are automatically available in the system. This also assures our customers that we operate with quality and in accordance with a unified operating model,” Hollo concludes.

Pemamek has been highly satisfied with the system’s customizability to meet their needs.

“What’s particularly great about Derigo’s service is that we’ve always received help when needed. Solutions have been found for our problems, and the system has been tailored to suit us perfectly. In larger systems, many features would have gone unused, and customization would have been extremely difficult,” Hollo explains.
